How to Set Up Your Signature in Outlook.com
Open the Outlook.com email settings to build your email signature. You can have more than one signature, and it can include text, links, pictures, and rich text formatting. This guide will show you exactly how to set up an Outlook.com email signature and how to insert it into your emails.
Steps to Set Up Your Email Signature on Outlook.com
Email signature settings on Outlook.com are available through the settings. Here’s what to do:
- Select the gear/settings icon at the top right of the website.
- Choose View all Outlook settings.
- Select the Mail tab on the left, and then Compose and reply on the right.
- On the Edit signature name text box, type something to identify this signature (this is useful if you make more than one email signature).
- Type your email signature in the big text box below the previous one. Use the formatting toolbar to spruce up your Outlook.com signature with bold text, color, indents, lists, hyperlinks, and more. You can even add a picture to your Outlook email signature to really stand out.
- Select Save at the bottom of the page.
- You’re finished! However, you can optionally configure your Outlook.com email signature to show up automatically when you write new messages or when you forward or reply a message. To do that, next to Select default signatures, pick the signature you just made for either of the options: For New Messages and/or For Replies/Forwards.
- Select Save again, if you completed Step 7.
How to Use Your Email Signature on Outlook.com
Now that your Outlook.com email signature has been created, it’s available for use while you’re composing a message, forwarding an email, or replying to someone.
If you completed Step 7 above by choosing your email signature for new messages, replies, and forwards, then the email signature will populate at the bottom of your messages by default. However, even if you didn’t choose one of those options, your email signature is still available whenever you want to use it.
While composing a message, open the Insert tab and then select Signature. All the email signatures you’ve made for Outlook.com will populate in that menu; simply select one to insert it into the message.
