How to create and use Microsoft Teams tags
Tags are used in different ways; to keep files organized, to center conversations around a particular topic, or to group people/items together. A tag is most often used to make items easier to find. In chat applications tags also act as a notification or alert system. For example, in Slack, tags like @all
can be used to alert everyone to an important message. The tag will send an alert to everyone in a channel.
Microsoft Teams tags
Microsoft Teams tags work like the tags in Slack; they are used to alert people or groups of people. Not all users in a team are allowed to create a tag since that can lead to too many tags being created, duplicate tags being created, or useless tags being created.
Create Microsoft Teams tags
Tags are created for an entire team and not just a single channel. In order to create a tag(s) for a team, you need admin rights i.e., you must be a team owner.
- Open Microsoft Teams.
- Sign in with an Admin or owner account.
- Go to the Teams tab.
- Click the more options button next to the team you want to create tags for.
- Click Manage Tags.
- Click the Create tag button.
- Give the tag a name. This name is what users will enter when they want to use the tag.
- From the dropdown, select team members to include in the tag.
- Click Create.
Find Microsoft Teams tags
To use a tag in Microsoft Teams, you must first know the keyword or the name of the tag. If you do not know the name of a tag or who is included in a tag, you can look it up.
- Open Microsoft Teams.
- Go to Teams from the column on the left.
- Click the more options button next a team.
- Select Manage tags.
- In the window that opens, you will see a complete list of tags and which users are included in the tag.
Use Microsoft Teams tags
To use a tag, follow these steps.
- Open Microsoft Teams.
- Go to the Teams tab from the column on the left.
- Select a channel and click New Conversation.
- Enter text and when you’re ready to enter the tag, type the
@
symbol. - Enter the keyword for the tag and select it from the list.
- Send the message.
- All users included in the tag will be alerted to the message.
Conclusion
The tags in Microsoft Teams aren’t like hashtags. Instead, they make it easier to tag multiple people in a post. It may seem far less useful than real hash tags but when you have to manage a large team, a quick way to mention multiple groups in a post has its advantages.
