How to generate a Microsoft Teams code
A Microsoft Teams team is normally created using an active directory or an existing user group. Users outside a group or AD can be added at any point by creating an account for them on the active directory.
A Microsoft Teams invitation is sent via email. An invitee must click the link in the email to join the team however, email adds an extra layer to joining a team. A much quicker method for adding team members is to use a Microsoft Teams code.
Microsoft Teams code
A Microsoft Teams code is generated for a team. It can be used from within the Microsoft Teams desktop app and from the web app. When added, it allows users to join a team immediately without going through links or emails.
Note: external users and guests cannot use a Microsoft Teams code to join a team. Code cannot be created if you’re using Microsoft Teams for free.
Get Microsoft Teams code
Team codes can only be generated by team owners or team admins. To get a team code, follow these steps.
- Open Microsoft Teams.
- Go to the Teams tab.
- Click the more options button (three dots) and select Manage team.
- Go to the Settings tab.
- Expand Team Code.
- Click the Generate button.
- Click the copy button to copy it to your clipboard.
- Share the code with users you want to invite to the team.
Use Microsoft Teams code
Once you have the link to a team, you can share it with whomever you want to invite to the team. You can send the link using any method you like e.g. email, a text message, any other chat app etc.
- Open Microsoft Teams.
- Go to the Teams tab.
- Click Join or create a team at the bottom.
- In the pane on the right, click Join a team with a code.
- Enter the code that has been sent.
- Click Join team.
Reuse Microsoft Teams code
A code generated for a team can be reused multiple times. You only have to generate it once and the same code can be used.
A code can also be reset. Resetting a code will give you a new code but users who have use already used the old code to join a team will not be affected.
- Open Microsoft Teams.
- Go to the Teams tab.
- Click the more options button and select Manage Team.
- Go to the Settings tab.
- Expand Team Code.
- Click Reset to reset the code or Remove to disable it.
Note: disabling a code will prevent other users from using it to join the team.
Conclusion
A code is much easier to use than a link and it is more secure. Links used to invite users to a team can’t be reset. Codes are shorter and unlike links, they are easier to remember and enter from memory. Each invitation method as its own advantages and disadvantages but as far as a quick-add goes, a code is great.
