How to create and use a Microsoft Teams Calendar

Microsoft Teams can organize lots of different types of activity; meetings, conversations, document edits, schedules, shifts, etc. It stands to reason that a calendar will be needed at some point to keep an eye on everything that’s coming up and to schedule future tasks.

Microsoft Teams has a Planner and Tasks manager but it is limited to the tasks that are assigned to team members. It doesn’t show you everything and is limited.

Microsoft Teams has two different calendars that you can use;

  • A teams’ calendar that is added as an app
  • A shared/group/channel calendar

Enable Microsoft Teams calendar

In order to use the Microsoft Teams calendar, it must be enabled for your team from the admin center

  1. Open Microsoft Teams.
  2. Click the more options button in the column on the left.
  3. Select Calendar from the window that opens.
  4. To pin the Calendar app to the side column right-click it.
  5. Select Pin.
  6. The Calendar app will be pinned.

Note: an unpinned app is indicated by its name which appears in italics. A pinned app’s name appears in regular font.

Add shared/group/channel Microsoft Teams calendar

The Calendar added in Microsoft Teams will normally sync with Outlook but it may not be visible to all team members. It may also be too cluttered to be usable. It’s always a good idea to add a calendar for a specific channel.

  1. Open Microsoft Teams.
  2. Select a team from the column on the left.
  3. Click the plus button at the top right of the channel.
  4. Select Channel Calendar.
  5. Give it a name and add it.

Events or meetings added to a channel calendar appear only the channel’s calendar and the event is posted to the Posts tab.

  1. Open Microsoft Teams.
  2. Go to Teams and select the channel with the calendar tab.
  3. Click Meet.
  4. Enter a title, description, attendees, date, time, etc for the meeting.
  5. Click Send.
  6. The meeting will be created and added to the channel.

Conclusion

The events in a channel’s calendars do not appear in the main Calendar tab. Likewise, the events from one channel’s calendar will not appear in the calendar tab for a different channel. You will need to keep track of which calendars have events added or you may end up with stacked events on the same date and time. Channels can be private and have a limited audience so make sure you add a calendar tab to a channel that’s visible to everyone that should attend.
