How to upload files to Microsoft Teams

Microsoft Teams allows team members to collaborate on different types of files. It’s also a fairly decent way to share files with everyone in a group, or with someone one-on-one.

In order to collaborate on files, or to share them, you have to upload the file to Microsoft Teams. This is fairly simple to do but may seem more complicated given the way Microsoft Teams is designed.

There are three different methods you can use to upload files to Microsoft Teams. The first two methods are far easier and most team members will be able to use them. The third method is slightly more complicated and may require admin access to the Sharepoint website Microsoft Teams is connected to.

Regardless, one thing holds true in all cases; files are uploaded to a particular channel and sorted as such. You cannot go to a single folder where you will find every single file that’s been shared over a Microsoft Teams team. Instead, you must go to the channel a file was shared over.

1. Upload files to Microsoft Teams – Channel

The easiest way to upload files to Microsoft Teams is to do it directly to a channel. It is uploaded and presents itself as a message.

  1. Open Microsoft Teams and go to the Teams tab.
  2. Select the channel you want to upload the file to.
  3. Click New conversation.
  4. Click the attach button on the toolbar below the text input field.
  5. Select where you want to upload a file from.
  6. Select the file and share it.

If you’d like to take a few steps off the previous method when you upload files to Microsoft Teams, you can follow this method.

  1. Open Microsoft Teams.
  2. Select the channel you want to upload the file to.
  3. Go to the Files tab of the channel.
  4. Click the Upload button.
  5. Select the file and it will be uploaded to the channel.

3. Upload files to Microsoft Teams – Sharepoint website

The Sharepoint method basically uploads files to Microsoft Teams from outside of the app. A paid Microsoft Teams team is connected to a Sharepoint website and all files that are share over a channel are essentially uploaded to this website. 

You can circumvent Microsoft Teams and upload files to the Sharepoint site directly.

  1. In your browser, visit the Microsoft 365 admin center.
  2. Click Show all at the bottom of the column on the left.
  3. Select Sharepoint.
  4. In the column on the left, go to Sites>Active Sites.
  5. Click the URL of the team you want to upload files to.

  1. Go to the Documents tab.
  2. Select the channel you want to upload the file to (a channel is represented as a folder).
  3. Click the Upload button and select a file to upload.
  4. Once the file is uploaded, you can inform team members from Sharepoint.

Conclusion

Uploading a file to Microsoft Teams is easy and the same method works on the web and mobile apps. The Sharepoint, while tedious, can help if you’re unable to install Microsoft Teams on the desktop and access it from the web.

    There is a work-around for this, however:
    1. Create a new view of the SharePoint library. Name it, “All Files, No Folders.”
    2. Edit the view.
    3. Scroll down to find the Folders section; expand it.
    4. Select “Show all items without folders.”
    5. Click the OK button to save your changes to the view.
